Classroom Reservation Request
Organizations and community groups are welcome to reserve our classroom for meetings, classes, or workshops. The community rooms are not intended for individual or private use, such as birthdays, baby showers or church services. Review the complete room use guidelines and submit your application for use with the form at the bottom of this page.
Use of the room is free with a $75 refundable cleaning deposit.
Reservation requests should be made no less than one week in advance.
The room can be reserved up to two months in advance.
The maximum capacity is 34 people.
No outside food or alcohol is allowed.
General Information and Room Use Guidelines
AVAILABILITY
The Merc Co+op’s Community Classroom can be rented any day of the week on a first-come, first-served basis. The room may be reserved for up to three (3) hours between the hours of 8:00 a.m. and 8:00 p.m.

COST
Use of the room is free. A $75 refundable security deposit is due at time of reservation.
RESERVING THE ROOM
To reserve the use of the Community Classroom, submit a Room Request Form, or reach out to the Outreach Specialist via email or call 785-843-8544 ext. 222.
Please allow at least one week lead-time to process your request.
The room can be reserved up to two (2) months in advance.
Scheduling recurring events is possible, but dependent on the classroom's existing schedule.
We will contact you to confirm your reservation.
Cancellations must be made at least 48 hours before the date of reservation. The Merc Co+op reserves the right to retain any security deposits if required notice of cancellation is not given.
CODE OF CONDUCT
The Merc Co+op is committed to providing a friendly and welcoming environment to its patrons, and a safe workplace for its employees. Physical, violent, harmful or disruptive behavior or harassment will not be tolerated. The term “harassment” for all purposes includes, but is not limited to, offensive language, jokes, or other verbal, graphic or physical conduct relating to an employee’s race, sex, religion, national origin, age, sexual orientation, disability, or other factor protected by law, which would make a reasonable person experiencing such harassment uncomfortable in the work environment or which could interfere with the person’s job performance.
For safety and security purposes, the Community Classroom must remain visible and accessible to co-op staff at all times, as needed; and conduct must adhere to these policies at all times.
Children are always welcome at The Merc Co+op and in the Community Classroom. For safety purposes, children must be accompanied by an adult.
Equipment & Capacity
No tacks, nails or tape may be used or placed on doors, walls or windows.
Wi-Fi is available. The passcode is in a frame on the wall within the room.
50” television with HDMI projection cord is available upon request.
Standard projector (for wall projection) is available upon request.
Capacity:
Open Square — 16 maximum
Classroom/Theater — 34 maximum
Tables & Chairs
Eight 4' x 1 1/2' tables are available for use.
Do not remove chairs from the café seating area or bring them into the Community Classroom.
If moving tables and chairs, lift them (or unlock the wheels to roll) to avoid scraping the floor and damaging the table.
CLEAN UP
When finished using the space, set the room back to the default setup. A poster with reference photos can be found on the wall of the classroom.
Before leaving the classroom, dispose of waste, wipe down all tables and sweep the floor. Cleaning supplies are provided.
Food and Drink
No outside food or drink is allowed in the Community Classroom.
Food purchased at the co-op is welcome.
Please purchase all food or beverages before bringing them into the classroom.
Tableware and napkins are available for purchase at the co-op.
No alcohol may be brought into the classroom.
Groups reserving The Merc Co+op’s Community Classroom accept full responsibility for care of the room and its contents and will be held liable for any damage caused to the co-op’s property. We reserve the right to grant or deny use of the classroom to any requesting group.
Allowing a group to use the Community Classroom does not in any way constitute an endorsement by the co-op’s Board of Directors, management or staff of that group’s policies or beliefs, and no claim to that effect nor claim of the co-op’s sponsorship may be used, explicitly or implicitly, in advertising.
The Merc Co+op reserves the right to change or modify any of these policies, at any time and in our sole discretion. Any changes or modification will be effective immediately upon posting.
